ESA is proud to provide a new travel management service to conveners and organizers who have secured symposium sponsors for ICE 2016. This service is intended to provide assistance in bringing speakers to Orlando by coordinating travel through ESA for the entire group, allowing organizers to concentrate on the scientific portion of their sessions and less on the administrative responsibilities.
Congress conveners and symposium organizers are invited to solicit direct sponsorship to support travel costs, Congress registration fees or honoraria for invited speakers. ESA will work with the organizers and funders to allocate the funding as directed, and provide budget reports per funder. ESA will not charge a management fee for this service. 100% of funding received will be applied towards the travel and other fees of the speaker(s).
For any funding received by conveners, ESA will provide travel management assistance at the direction of the convener, organizer or funder. Assistance can include Congress registration fees, airline tickets, hotel accommodations, honorariums, per diem, mileage, and meal reimbursement.
Potential funding sources to solicit may include:
- Federal government grants
- Industry suppliers
- Non-profit grants
- Corporations
- Universities

The deadline to notify ESA of your intended funding support and need for travel management services is March 1, 2016. All funding must be received by June 1, 2016 in order to process all advance (including flights) and onsite payments.
